Refund Policy
We aim to keep pricing, project scope, and refund expectations clear before work begins.
Effective Date: September 13, 2026
Last Updated: September 13, 2026
This Refund Policy applies to services purchased from Workpilo, a digital business operations service operated by CHBT LLC.
1. Estimate Requests Are Free of Purchase Obligation
Requesting an estimate does not require payment and does not obligate you to purchase a Workpilo service.
The normal process is:
- you request an estimate
- you provide your requirements
- Workpilo reviews the project
- Workpilo provides an estimate describing the proposed scope and price
- you decide whether to accept
- if accepted, Workpilo privately provides an invoice or payment link.
You may decline an estimate without purchasing the service.
2. Starting Prices
Prices displayed on workpilo.com are generally starting prices and should not be interpreted as the final price for every project.
The final agreed price may depend on:
- scope
- quantity
- complexity
- required turnaround
- supplied materials
- output requirements
- additional work requested.
The applicable price will be communicated before payment is required.
3. Cancellation Before Work Begins
If you have already paid for a service but Workpilo has not yet begun working on the project, you may request cancellation.
For an eligible cancellation made before work begins, Workpilo will provide a full refund of the amount paid for the service.
Contact:
as soon as possible if you wish to cancel.
4. When Work Is Considered to Have Begun
Work may be considered started once Workpilo or personnel working on behalf of Workpilo begin performing activities relating to the agreed project.
Depending on the service, this may include:
- reviewing project files in detail
- preparing project materials
- organizing or processing data
- carrying out research
- testing
- configuration
- editing
- preparing deliverables
- performing other substantive work required by the agreed service.
An initial review performed solely to prepare an estimate does not by itself constitute paid project work.
5. Refunds After Work Has Begun
Once work on an accepted and paid project has begun, payments are generally non-refundable.
This is because Workpilo may already have allocated time, labor, resources, or project capacity to completing the service.
A customer’s decision not to use completed work or to discontinue a project after work has begun does not automatically create a right to a refund.
Any mandatory refund or cancellation rights provided by applicable law remain unaffected.
6. If Workpilo Cannot Deliver the Agreed Service
If Workpilo determines that it cannot deliver the agreed service, Workpilo will review the amount of work already completed.
Depending on the circumstances, the customer may receive:
- a full refund if the service cannot be provided and no meaningful portion has been delivered or
- an appropriate partial refund where only part of the agreed service can be delivered.
The refund will reflect the portion of the agreed work that cannot reasonably be completed or delivered.
7. Problems With Delivered Work
If you believe delivered work does not materially match the agreed scope, contact Workpilo and clearly explain the issue.
Where appropriate, Workpilo will first review whether the issue can reasonably be corrected.
If revisions or corrections are included in the applicable estimate or service agreement, they will be handled according to those terms.
A refund is not automatically due because a customer requests a change that falls outside the original agreed scope.
If Workpilo is unable to deliver or reasonably correct a material part of the agreed service, an appropriate full or partial refund may be considered based on the undelivered portion and applicable law.
8. Revisions
Revisions are included only when explicitly stated in the:
- estimate
- applicable service description
- project specific agreement.
A request for a revision does not automatically create a right to a refund.
Revisions must remain within the originally agreed project scope.
Additional work or new requirements may require a separate estimate.
9. Changes in Requirements
The original price applies to the agreed scope.
If the customer changes the requirements after accepting the estimate, Workpilo may provide:
- a revised estimate
- an additional estimate
- an adjusted delivery schedule.
A customer cannot obtain a refund for completed work merely because the customer later changes the original instructions or desired outcome.
10. Missing Information or Customer Delays
Customers are responsible for providing information, files, access, approvals, and responses reasonably necessary to complete the agreed project.
If Workpilo cannot proceed because required information is missing or the customer stops responding, the project may be paused.
A customer-caused delay does not automatically create a right to a refund.
Any refund request in such circumstances will be considered based on:
- the work already performed
- costs already incurred
- the remaining undelivered scope
- applicable law.
11. Duplicate or Incorrect Payments
If you believe you have:
- paid the same invoice twice
- been charged an incorrect amount
- made a payment in error
contact:
as soon as possible with sufficient transaction information.
Verified duplicate or erroneous payments will be corrected or refunded as appropriate.
12. Payment Method and Refund Processing
Approved refunds will normally be returned using the original payment method where reasonably possible.
Refund processing may involve third party payment providers, banks, or card networks.
After Workpilo issues a refund, the amount of time required for the funds to appear in your account may depend on the relevant payment provider or financial institution.
Workpilo does not control external banking or payment provider processing times.
13. Payment Provider Disputes and Chargebacks
If you believe there is a billing or service problem, we encourage you to contact Workpilo first at:
so that we can review the issue.
Nothing in this section prevents you from exercising any dispute or chargeback rights that are legally available through your bank or payment provider.
Providing false or misleading information in connection with a payment dispute may violate these Terms and applicable law.
14. Statutory Consumer Rights
This Refund Policy does not limit refund, cancellation, withdrawal, warranty, or other consumer rights that cannot legally be waived.
Customers in some jurisdictions may have statutory cooling-off or withdrawal rights for certain online service contracts.
Where applicable law grants such rights, those rights will apply notwithstanding any conflicting provision in this Policy.
If you expressly ask Workpilo to begin performing a service during a legally protected withdrawal or cooling-off period, additional rules may apply regarding payment for work performed before cancellation.
Workpilo may request any consent or acknowledgment required by applicable law before beginning such work.
15. Fraud, Abuse, or Prohibited Activity
Workpilo is not required to provide a refund where a transaction involves:
- fraud
- attempted fraud
- abuse of payment systems
- deliberate misuse of Workpilo services
- materially false information supplied by the customer
except to the extent a refund is required by applicable law.
16. How to Request a Refund
To request an eligible refund, email:
Include enough information for us to identify the transaction, such as:
- your name
- email address used for the project
- invoice or transaction reference where available
- service purchased
- reason for the refund request.
Do not send full card numbers, banking passwords, or other sensitive payment credentials by email.
We will review the request and respond using the contact information associated with the project.
17. Changes to This Refund Policy
Workpilo may update this Refund Policy from time to time.
The latest version will be published on workpilo.com with the applicable “Last Updated” date.
For an already accepted project, the refund terms in effect when the service agreement was formed will generally apply unless:
- a later change is required by law or
- Workpilo and the customer agree otherwise in writing.
